Getting started

How do I create my first report?
From the dashboard, click “New report”. Pick the meeting type, dictate your notes or upload an audio file, then let FinancIA structure the write-up. You can review and correct it before exporting.
Which audio formats are accepted?
WAV, MP3, M4A and MP4. Anything recorded directly in the browser is converted to 16 kHz mono WAV, the format the transcription engine expects.
How long does generation take?
Expect one to two minutes for a five-minute dictation. Timing depends mostly on audio length: the transcript is split into segments processed one after another. The page updates on its own once the report is ready.

Recordings

How should I dictate my notes?
Speak normally, in full sentences, as if you were describing the meeting to a colleague. You don't need to follow the order of the sections — the structuring step reorganizes the information. Say amounts out loud (“twenty-five thousand dollars”); they are converted to numerals.
What's the maximum file size?
100 MB per upload.
Can I record from my phone?
Yes. The app installs to your home screen (PWA), and the New report screen also lets you upload a file recorded with your phone's voice memo app.
Is the audio kept?
No. The file is deleted from the server as soon as transcription finishes. The transcript itself is erased automatically after 30 days; the structured report is kept.

Reports

How do I edit a report?
Open it from “My reports”. Every section is editable in place and changes save automatically. You can also regenerate a single section if the result doesn't work for you.
How do I export to PDF or Word?
The export buttons sit at the top of the editor. The PDF carries your template's colours and logo; the .docx stays editable in Word.
How do I share a report with my client?
The “Send by email” button generates a signed download link valid for 7 days. The document is not attached to the email — the link expires on its own.
What does the “v2” badge on a report mean?
The report has been regenerated at least once. “View history” shows the earlier versions, read-only.

Templates

How do I create a custom template?
From “Templates”, create a new one and build it from the section library. You choose the sections and their order; the instructions sent to the engine are calibrated per section and are not editable.
What's the difference between system and custom templates?
The four system templates (First meeting, Follow-up meeting, Annual review, Retirement and estate planning) ship with the product and cannot be deleted. Your custom templates are yours and editable at will.

Clients

How do I add a client?
From “Clients”, the form asks only for a name. The full record (family situation, occupation, products held, objectives) can be filled in later, or dictated by voice from the record itself.
How do I link a report to a client?
Select the client when you create the report. From a client record, the “New report” button pre-fills the selection for you.
How do I generate a multi-meeting summary?
On a client record with at least two reports, the summary button produces an overview of how the situation has evolved, the status of past recommendations, and the points to watch.

Security & privacy

Where is my data stored?
Exclusively in Canada. Hosting, database, transcription and language model all run in the Azure Canada Central and Canada East regions. No client data leaves the country. Details on the Security page.
What does Quebec Law 25 change for me?
It requires you to inform your client and obtain their consent before processing their personal information. The consent guide provides a ready-to-read script.
How do I delete my account and my data?
Settings → “My data”. The request is recorded and permanent deletion happens after 30 days, a window during which you can still change your mind.

Billing

What's the difference between Solo and Firm?
Solo covers a single planner. Firm is billed per seat and shares reports, templates and client records across the members of one firm. Full details on the Pricing page.
How do I cancel my subscription?
Settings → Billing → customer portal. Cancellation takes effect at the end of the period already paid for; your reports stay accessible.
What is the refund policy?
The 14-day free trial lets you evaluate the tool with no commitment. For any billing question, write to support@financiaqc.ca.
