Privacy Policy
FinancIA Québec operates under Quebec Law 25 (Act respecting the protection of personal information in the private sector). This page sets out what we collect, where we host it, and the rights you hold over your data.
This Privacy Policy is governed by Quebec law (Law 25 / Act respecting the protection of personal information in the private sector). If you are located outside Quebec, the same protections apply to your data.
This document is undergoing legal review. The content below reflects our architecture and our operational commitments, but will be finalized by Quebec privacy counsel before official publication. The English version is a translation of the French text and carries the same provisional status.
1. Data we collect
We collect strictly the data required to deliver the service:
- Account: email, full name, firm name, membership number (AMF / IQPF, or your provincial regulator), logo (optional).
- Generated content: audio recordings of client meetings (transcribed, then deleted after 30 days), transcripts and final reports.
- Audit: a log of sign-ins and report activity (IP address, user agent), required by IQPF / AMF compliance standards.
2. Canadian hosting — no cross-border transfer
All your data is stored and processed exclusively in Canada:
- Database and files: Azure Canada Central (Toronto).
- AI processing: Azure OpenAI Canada East (Quebec City). No calls to the OpenAI API directly, and no “Global” or “Data Zone” deployment.
- Speech-to-text: Azure Speech Service, Canada Central.
No cross-region fallback is configured. If a Canadian region becomes unavailable, the service goes down temporarily rather than failing over outside the country.
3. Your rights under Quebec Law 25
Quebec Law 25 guarantees the following to you, and to the clients for whom you act as the person in charge of the information:
- Right of access: review all data held about you.
- Right to correction: have inaccurate information corrected.
- Right to deletion: request full deletion of your account and your data.
- Right to portability: obtain a copy of your reports in a structured format.
- Automatic minimization: raw transcripts are deleted automatically 30 days after the report is created.

We respond to Law 25 requests within 30 days at most, in accordance with section 28 of the Quebec Act respecting the protection of personal information in the private sector. We apply the same 30-day commitment to requests from outside Quebec.

If you reside outside Quebec, you may also contact the Office of the Privacy Commissioner of Canada, or your provincial privacy authority.
